Requirements:

Associate Degree; or a High School diploma plus 2 years of work experience.

-Excellent customer service skills.
-Ability to handle billing, course logistics, maintenance of class files, tracking expenses and general understanding of budgetary process.
-Ability to learn internal software programs and manage student data in student manager.
-Ability to manage calendar and course schedules.
-Ability to work with internal and external customers.
-Strong clerical skills including intermediate to advanced level knowledge of Microsoft suite.
-Ability to demonstrate initiative and perform complex administrative tasks.
-Knowledge of troubleshooting for online and walk in students.
-Ability to work with confidential information appropriately.

 

Job Description:

-Responsible for logistics of classroom scheduling and equipment setup for instructors. Coordinates needs with the instructors and program manages/coordinators. Purchases supplies using P-Card. Conducts confidential background checks. Inventories and orders materials based on program needs. Maintains and closes out course files to meet state auditing standards. Prints and mails out certificates. Maintains departmental inventory. Assists adjunct instructors in course preparation, as needed.

-Acts as first point of contact for walk-in and online students. Responsible for providing information about classes, answering potential and current student questions about assigned classes. Provides direction to appropriate resources or staff and assists in scheduling appointments. Communicates information to other areas in the division (registration, etc.) about programs.

-Handles class cancellation notifications, refunds, and billing processes for public and contract classes. Assists in gathering required information needed for grants and scholarships. Serves on internal committees that impact college. Assists with setup and planning for advisory board meetings. Attends meetings when necessary.

-Maintains files for budgetary, record retention, and auditing purposes. Assists in the tracking of expenses, revenues, advertising, and course reports for department. Works with building coordinator to ensure classrooms are scheduled. Adds, cancels, and revises courses in the Student Manager System for student registration. Able to run reports that impact department from registration system. Works alongside other divisional administrative support specialists to provide coverage as needed.
