Job Description:

Job Summary: The Team Lead supervises all clinical support staff and oversees all support functions involved with the daily operations of the clinic, inclusive of the enforcement of clinical processes and procedures, building scheduling templates for the providers, and supply management. The Team Lead works directly for the Senior Clinical Geneticist and with the Clinical Operations Manager to assist with issues that may arise in the office. 

Supervisory Responsibilities:  

  • Overseeing the daily operations of the clinic 
  • Deciding how to approach tasks and develop a plan to accomplish them 
  • Distributing information to team members 
  • Determining the goals that support staff will work toward 
  • Developing support staff’s performance standards, offering feedback and demonstrating desired skills and expected work ethic 
  • Preventing conflict where possible and resolving it when it does arise 
  • Attending bi-monthly Team Lead operations meetings 
  • Assisting in the interviewing/hiring process and decision making on hiring new support staff 
  • Overseeing the training of new support staff employees  
  • Keeping up with support staff PTO requests and approvals  
  • Providing annual performance evaluations and periodic performance counseling for all support staff 

Duties/Responsibilities: 

  • Augment the front desk with managing the phones, fielding calls from patients, sending appointment reminders to patients, checking patients in and out of appointments, adding patients to recall rosters in EPIC, sending links to patients for virtual appointments and/or documentation uploading into EPIC. 
  • Reviewing, changing, opening and updating all providers’ schedules in EPIC 
  • Preparing the lab letters and clinical notes that have been created for patients to send out and mailing them to patients along with the lab results 
  • Making sure the clinic is kept clean; at a minimum perform a monthly walkthrough inspection  
  • Rooming patients and wiping down rooms post visit 
  • Assisting in records requests prior to visit for relevant records omitted from referring providers 
  • Scheduling interpreter services for non-English speaking patient appointments
  • Ensuring the clinic is well-stocked with appropriate medical and administrative supplies; order supplies as needed 
  • Sending all invoices for the office to GGC Accounting 
  • Assist with coordination of visiting clinics and external clinics 
  • Responsible for cash count/petty cash each month 
  • Managing the schedule and upkeep of the GGC Columbia company cars.  
  • Reporting any building or GGC vehicle maintenance issues 
  • Assisting with other tasks or duties
