Requirements:

Must possess a high school diploma and work experience that is directly related to the area of employment. A bachelor's degree may be substituted for the related work experience.

ADDITIONAL REQUIREMENTS:

Relevant experience in business management, public administration, or administrative services.

The selected applicant must have thorough knowledge of general office policies, practices, and procedures related to the performance of professional level administrative support functions. Must have the ability to provide assistance in coordinating a variety of management and administrative functions for the Office of Highway Safety and Justice Programs (OHSJP). The selected applicant must have the ability to handle multiple priorities. Must have excellent oral and written communication skills in dealing with other agency staff and staff of subgrant agencies. Must have the capabilities to effectively plan and organize work activities an prioritize task completion according to schedule and goals.

Must be able to work independently and under limited supervision. Must be able to make appropriate decisions independently.

Job Description:

Assists with the administrative needs of all Office of Highway Safety and Justice Programs (OHSJP) Managers to include filing, copying, preparing correspondences, scheduling meetings, recording/transcribing meeting minutes, etc.

Provides back-up for the Administrative Coordinator to include screening telephone calls for the office and responding to questions the caller may have; routes caller to the appropriate Department of Public Safety (DPS) staff or assists with routing caller to the appropriate agency.

Provides back-up assistance in processing the awarding of Highway Safety grants. Such assistance includes the preparation of grant charts, legislators' letters, Grant Award documents, as well as assembling the Grant Award package to be mailed to subgrantees.

Assists in the preparation of grant applications and related documents.

Assists the OHSJP Financial Accountants with filing, organizing files, drafting letters to subgrantees, updating spreadsheets, maintaining master list of all subgrantees, and other related financial responsibilities.

Assists all staff with preparing documents for the Funding Guidelines Workshop, the Project Management Course, and Grant Award Pre-Work Conferences.

Performs other administrative duties related to the daily activities of the State's Highway Safety grant program.
