Requirements:
  • High School Diploma or GED required; associates or bachelor’s degree preferred.
  • Minimum five (5) years of professional administrative, project and/or program experience supporting multiple projects.
  • Excellent judgment, with ability to work independently and accurately under pressure of multiple deadlines, and exceedingly well organized and flexible.
  • Strong human relations skills and have ability to work well with people of diverse backgrounds.  
  • Ability to work effectively with minimal supervision.
  • Must be detail oriented; maintain accuracy, self-direction and strong math skills are required.
  • Meticulous attention to detail, organizational and time management skills; the capacity to manage daily workflows and deadlines with composure. 
  • Proficiency in Microsoft Office Products and databases. Experience with Salesforce preferred.
  • Demonstrated ability and proficiency to perform data entry with extreme accuracy.  
  • Willingness to perform tasks that involve the ability to exert light physical effort with may include some lifting, carrying, pushing, and/or pulling objects and materials of moderate weight (20-25 pounds).
  • Upon h ire, must hold personal membership in the Girl Scout organization and subscribe to the tenets of the Girl Scout Promise and Law.
  • Must have personal transportation and ability to drive, possess a valid driver’s license, maintain personal auto insurance/meet the council insurance company’s requirement for coverage, and submit to drug test and background check.
Job Description:

The Operations Specialist is a cross-functional member of the council and provides a full range of project support for the operational departments, including membership, program and camp, product program, IT, and coordinating council property rental. Possesses strong organizational and computer skills while exhibiting initiative, professionalism, and leadership through generating the highest quality of work is imperative. Provides backup support for the front desk and Girlz Gear Shop as well as office administrative support with special projects. Serves as a backup to IT for basic tasks such as password resets, monitoring data backups, and other general tasks. Provides support for program and membership events including program facilitation as needed. Supports key stakeholders through phone calls, in-person engagement, sales and program service interpretation, and written, email or Salesforce correspondence. All interactions of the Operations Specialist support the customer experience of the girl, volunteer, parent, donor, or community member engaging the council.

 

Objectives / Responsibilities

  • Provide general project support for the operations team to include membership, product program, program, property reservations, IT, and other special projects as needed.
  • Support expeditiously, proactively, and follow through on projects to successful completion, applying problem solving and analytical skills and adjusting as necessary.
  • Support Customer Care team as backup and customer service overflow by answering  phones, responding to inquiries, assisting with Girlz Gear and helping  with data quality.
  • Primary contact to handle product program, Salesforce cases or customer service calls, assigning cases or redirecting calls to the appropriate staff.
  • Manages a cookie cupboard and is responsible for coordinating and assisting with onsite cookie distribution to troops. 
  • Provides assistance and facilitation with program and membership events as needed. 
  • Assist  in preparing reports, drafting communications to include materials and/or  data for leadership use.
  • Participates in regular team meetings and trainings to keep current on council  initiatives, seasonal calendars, communication, organizational priorities,  GSUSA’s policies, priorities, changes, and requirements related to the Girl Scout Leadership Experience.
  • Assist with reconciliation and tracking of financial information. 
  • Provides recommendations and suggestions for improvements in all aspects relating to increased performance.
  • Attend other meetings as appropriate with managers, volunteers, service centers, all staff, etc.
  • Subscribes to the tenets of the Girl Scout Promise and Law.
  • Keeps abreast of  trends and issues in the community affecting girls, volunteers, and council services; keeps current on GSUSA’s policies, priorities, changes, and requirements related to the Girl Scout Leadership Experience and  membership philosophy and priorities.
  • Assists in the  smooth functioning of the council by performing other duties as assigned.
