SBTCE MINIMUM QUALIFICATIONS:

To serve as the administrative assistant to the AVP of Information Technology; manage the operation of the office and provide information and assistance to other administrative assistants in the division; work as the intermediary with the technical team in IT and the other division personnel when required.
•Plans, organizes, develops and implements administrative procedures for the Information Technology Division. This includes but is not limited to the different functional teams within the IT division (LAN, WAN, Web Services, A/V, and Datatel. Supervises and coordinates workflow of the administrative functions within the IT Division. Prepares and maintains necessary files, paperwork, and reports for the Division. Supervises and develops schedules for the work studies within IT.
•Monitors the annual budget to include keeping records on expenditures, encumbered funds and current balances. Maintains inventory of office supplies and forms.
•Prepares contracts for all part-time employees in the division, prepares the part-time pay roster each month; prepares the de-obligation reports quarterly, and handles all other matters with part-time employees.
•Receives incoming correspondence; answers routine and non-routine correspondence. Receives and directs callers; resolves routine problems (not technically related).
•Manages and schedules time with regard to meetings and conferences; prepares agenda for coordinators’ and division meetings; records, processes, and distributes minutes, as well as other campus committee meetings
